Privacy

Plain-language privacy note.

A short rundown of what we do with the information you send through our intake form. No dark patterns, no mailing list.

1 · What we collect

Only what you type into the intake form. Typically:

  • Your name and email
  • Your role (optional) and the shape of the project — type, subject, deliverable, region, timeline, and any notes
  • Optionally: a budget range

We don't use analytics that personally identify you. We don't set marketing cookies. There is no tracking pixel in our emails.

2 · Why we collect it

To reply to you with a tailored quote within 24 hours JST, and to route the inquiry internally to the right person on our team. That's the whole purpose — nothing else.

3 · Where it lives, and for how long

Our email inbox (Gmail). Your intake message arrives as a regular email and stays in our archive indefinitely, the same as any other client email. You can always ask us to delete it.

Internal Telegram notification. A summary goes to our internal Telegram channel so the founder sees it immediately. Those messages roll off after about 12 months.

AI classifier logs. To triage inquiries quickly we use an AI model to propose tier / quote draft. The request log is retained for up to 30 days for quality-control, then deleted.

4 · Who sees it

Inside PITH FILMS, only the director (Tsukaya Suzuki) and the Producer/PM working on your project. We don't share your information with third-party marketers or partners.

We do rely on a small number of service providers to run the pipeline:

  • Resend — email delivery (reply + our archive copy)
  • Anthropic (Claude) — the AI that drafts the tier classification and reply draft
  • Telegram — internal notifications
  • Vercel — hosts this site and the serverless intake endpoint

Each of them handles the data under their own terms. None of them have permission to use your information for their own marketing.

5 · No mailing list

We don't add you to a newsletter or send you unsolicited follow-ups. If your project doesn't move forward, we won't keep nudging you.

6 · Your rights

You can at any time:

  • Ask us to show you what we have on file about you
  • Ask us to delete your intake record
  • Ask us to correct anything that's wrong

Just email contact@pithfilms.com with the request and we'll action it within a few business days.
